Essential qualifications:
  • Bachelor degree in the arts or management with at least two years of experience in events management or a combination of related education and work experience to equal six years
  • Ability to prepare and execute planning of events and to anticipate production needs of clients and assisting staff
  • Possess a professional demeanor and image, with excellent customer service and interpersonal, verbal, and written communication skills
  • Ability to work with a diverse group of employees, clients and guests with a variety of cognitive and physical abilities and with varying backgrounds and identities
  • Strong organizational skills and extreme attention to detail
  • Experience with accounting, inventory and cash management
  • Demonstrated fluency with computer applications, including Windows operating systems, Microsoft office suite, and shared web applications (Google Suite)
  • Ability to lift fifty (50) lbs. and be able to stand for ninety (90) minutes
  • Available to work some evenings and weekends

Preferred qualifications:
  • Demonstrated ability to work independently and as part of a team, and problem solve quickly and efficiently
  • Front of House management experience in concert hall or theater venue
  • Skilled at making decisions, self-directing work activities, responding to internal and external constituents, establishing positive working relationships, and responding timely to all
  • Experience recruiting, hiring, training, and evaluating paid and volunteer ushers preferred
  • Ability to multiple projects simultaneously and succeed in a fast-paced environment, possess even disposition under pressure
  • Familiarity and commitment to ADA policies and procedures
  • Knowledge of CPR and AED procedures
  • General knowledge of theatre production and music
Working Title: Audience Services-House Manager, Ted Mann Concert Hall (TMCH)
This position is a 100%-time position responsible for managing Front of House Operations during events in Ted Mann Concert Hall. The position works with renters, patrons, faculty, staff, University Departments and outside vendors and professionals to ensure patron and client satisfaction. The individual in this position reports to the Audience Manager and has supervisory oversight of part-time employees, student workers, temp-casual employees, and volunteers.
House/Event Management (40%)
  • Responsible for decision-making for Front of House event management ensuring compliance with executed Use Agreements, University policy and work rules resolving conflicts that might arise between client, patrons and TMCH staff.
  • Oversee Front of House operational logistics and supervise event staff
  • Facilitate needs of renters with loading, set-up and strike of activity
  • Work with clients and vendors to ensure accuracy of event set-up details and ascertain requested technology support is in accordance with the lobby’s resources and technical specifications.
  • Communicate and coordinate with internal staff (e.g. stage management, AV techs) regarding client needs
  • Ensure safety of the public, including attending to crowd control protocols, emergency and evacuation procedures, public health/OSHA standards, incident reports
  • Ensure condition of public spaces, including the concert hall and lobby, are clean and well maintained; manage lobby set-ups and tear-downs. Equipment may include banquet tables, chairs, benches, plants, coolers, concession bars, ropes, stanchions and seasonal décor.
  • Assist with organization and facilitation of special events and receptions for the School of Music as well as other collaborative events with external parties.

Supervision and Training (25%)
  • Responsible for recruiting, hiring, training and supervision of employees and volunteers in Front of House positions ensuring adequate staffing levels at all events. Submit hiring paperwork to payroll.
  • Manage monthly scheduling of staff; approve and authorize timecards for paid staff. Oversee regular house manager meetings and craft monthly usher newsletter.
  • Develop and maintain House Manager Manual, Usher Operation and Safety Procedure, and Concessionaire Manual; implement workspace standards and practices used by staff.
  • Provide training for new hires on knowledge and skills to successfully maintain customer service standards of Front of House staff including safe working procedures and health/wellness practices.
  • Develop and implement policies and procedures for safe food handling and presentation in accordance with University and Public Health Standards for Concessionaires.
  • Develop, test, and implement safety and evacuation procedures during events in consultation with UofM Emergency Management policy and Production Manager. Assess and determine appropriate response to emergency situations as outlined in the emergency response protocol.
  • Communicate event information and awareness and understanding of policies and procedures to staff ensuring successful events and high-quality customer service.
  • Advocate on behalf of the Front of House staff recognizing achievements through promotion or other programs within approved compensation programs.

Planning and Logistics (20%)
  • Develop, coordinate and disseminate Front of House logistics from staff and clients in advance of events.
  • Assist the Production Manager in the development and implementation of policies related to facility use including but not limited to merchandise sales policies; concession sales policies; and lobby and outdoor receptions.
  • Liaison to University Tickets and Events and other ticketing agents; distribute complimentary tickets.
  • Coordinate schedules with contracted University departments (Landscape, Parking Services, UMPD, UDS and Facilities Management), external vendors, and other event support service providers fostering strong partnerships for on-going and preventative maintenance projects and to ensure events run smoothly and successfully.
  • Participate in production meetings, site visits and tours to current and potential clients and event vendors.
  • Advocate on behalf of staff, guests and patrons with accessibility needs; ensure access to venue is barrier free in accordance with the American with Disabilities Act.
  • Research proposals for approval and other special projects to the facility as assigned.

Purchasing and Budget (15%)
  • Manage on-site event accounting: concession deposits, cash drawers, credit cards, safe bankroll, event sales/inventory, merchandise sales and commissions.
  • Submit deposits, invoices and other vendor documentation with appropriate authorization ensuring compliancy with UofM accounting standards. Ensure labor and equipment charges for Front of House services are billed accurately and in a timely fashion. Prepare and review estimates as requested.
  • Research and determine vendors and arrange payments and deliveries for goods and services.
  • Manage all aspects of food concession sales including purchasing, inventory, staffing, training, and accounting. Monitoring revenues and expenditures and generating inventory and deposit report.
  • Oversee and implement purchasing inventory and cash management.
  • Supervise credit card terminal use and serve as Payment Card Manager for TMCH.
  • Maintain food preparation equipment to ensure safe and efficient service, researching and recommending the purchase of new equipment when necessary. Supervise the procurement of Front of House equipment and supplies.
  • Log attendance and staffing hours for event billing purposes.
