ADMINISTRATIVE ASSISTANT TO THE DIRECTOR OF FINANCE AND OPERATIONS (12 months, 37.5 hours / week)POSITION SUMMARY
The primary job responsibility of the Administrative Assistant to the Director of Finance and Operations is to ensure the effective and efficient operation of the office. This is accomplished through timely collection, processing and dissemination of information. The Administrative Assistant is expected to frequently interface with the schools, departments, employees, business partners, parents, public officials, and the community in a professional manner with respect for confidentiality to privileged and sensitive information. DUTIES AND RESPONSIBILITIES
Plan and organize work in an effective and efficient manner
Organize and manage general and confidential files and records according to established policies and procedures, including the security and backing up of electronic files.
Perform special assignments, studies, and routine functions as directed.
Transmit and explain directions and requests to designated staff and monitor progress when required.
Arrange meetings and schedule appointments for the Director of Finance and Operations.
Take initiative and exercise own judgment when appropriate; work independently.
Welcome visitors and arrange for their comfort; handle unexpected visitors according to predetermined policy.
Screen incoming correspondence and telephone calls, route appropriately and monitor for timely response.
Compile and coordinate data.
Use technology to process correspondence, reports, drafts and rough notes.
Independently compose written communication.
Proofread and edit communications.
Prepare materials for meeting and conferences and handle meeting logistics.
Assist in preparation of statistical and narrative reports.
Assist in budget preparation.
Provide backup services for the Procurement Coordinator when necessary and assist other district personnel as required.
Perform other duties as assigned
QUALIFICATIONS * Competencies:
Ability to establish and maintain complex hard copy and electronic data files.
Ability to schedule and coordinate meetings.
Ability to process paperwork accurately and efficiently.
Ability to establish and maintain positive relationships with staff, students, parents, business partners, and the community.
Ability to use contemporary office technology.
Ability to learn new technologies.
Excellent telephone skills.
Ability to handle and prioritize multiple projects simultaneously.
Ability to exercise good judgment.
Ability to work independently and exercise self-initiative.
Ability to record meeting minutes and compose clear and correctly written minutes and communications.
Education & Experience:
Minimum of a high school diploma; two years post-secondary formal training in secretarial science, and 3-5 years successful experience as an administrative assistant.
Or a minimum of 10 years experience in a similar position.
