Detail of : Entry Level - Administrative Assistant II Job Opening in Phoenix
This position will assist the Board's Administrative Service Officer I by processing the agency's accounts receivable and accounts payable, assist with purchasing necessary agency supplies, serve as the agency's travel coordinator, assist with inventory, attempt to collect NSF checks and draft necessary correspondence. In addition, this position will assist with agency filing, archiving and maintaining the records retention schedule.
Reconcile dally financial reports; completing deposit slips; EFT deposits; EFT payments and companion transaction payments from various state agencies; working directly with CSB for processing the deposits; attempting to collect NSFs. Working in Procure AZ to order supplies and equipment for the agency as necessary and assuring compliance with State Procurement laws-obtaining necessary approvals for payment of invoices for items received. Coordinating travel for agency staff and board members; obtain meeting dates, and completing conference registration deadlines timely; making necessary travel arrangements, prepare itineraries, collect travel claims and related invoices and process them pursuant to State law. Assisting with the creation of the agency's master files; assisting with lawful document retention, including shredding of outdated, but confidential information.
Inputting address changes into the computer; assisting with agency license renewals and processing incoming mail as necessary. Other duties as assigned as related to the position.
Knowledge, Skills & Abilities (KSAs):
Knowledge of principles and practices of administration, budgeting, and accounting.
Knowledge of state laws and rules related to money handling, financial control, regulatory law.
Skill composing, editing and proof reading a variety of reports, correspondence and forms.
Skill using business computer programs and other office equipment. Ability to interpret and summarize written and oral information accurately.
Ability to exercise initiative and make decisions.
Ability to work under stringent deadlines, organize, prioritize and multi-task.
Preference for those with experience in related fields such as business, finance, and at least 1 year of state service in related jobs.
