TITLE: Tour Programs Coordinator
DEPARTMENT: Learning and Engagement
REPORTS TO: Head of School and Gallery Programs
FLSA STATUS: exempt
The Mint Museum Tour Programs Coordinator serves as the museum’s liaison for Docent, L&E staff, and in-person and virtual tour group programs. This position manages the tour programs with the goal of achieving meaningful and relevant visitor and community engagement.
DUTIES AND RESPONSIBILITIES – ESSENTIAL FUNCTIONS:
Serves as the main point of contact for all tour programs requests.
Develops master tour schedules, secures docents, generates docent schedules and tour group confirmations, and oversees tour logistics to ensure effective and meaningful experiences.
Coordinates tour programs schedules and marketing with Collections & Exhibitions, Special Events, Marketing and Communications, and Guest Services staff.
Works closely with Head of School and Gallery Programs and Assistant Head of School and Gallery Programs to improve quality of tour programs through implementing reflective practices and effective tour evaluation.
Works closely with Head of School and Gallery Programs, Assistant Head, and Docents to update school and adult tour programs resources and to implement new tour programs activities and strategies that reflect museum best practices.
Works closely with Head of School and Gallery Programs and Community Relations Director to recruit a diverse docent candidate group that reinforces the museum’s DEIA focus.
Generates reports on tour programs attendance figures, admissions revenue, visitor feedback, and specific audiences.
Identifies tour programming issues and coordinates resolution with appropriate staff.
Provides administrative support to Docents: compiles annual docent roster, maintains docent availability schedules and committee interest, provides weekly museum updates, attends board meetings and helps maintain Mint Docent website.
MINIMUM QUALIFICATIONS FOR CONSIDERATION:
EDUCATION: 4-years bachelor’s degree, preferably in Art Education, Art History, Humanities, Art Education, Museum Studies, or related fields
PROFESSIONAL EXPERIENCE: Experience working in a professional environment.
KNOWLEDGE/SKILLS/ABILITIES: Experience working in customer service; bilingual fluency a plus. Skill with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, Teams), promoting on social media, and usage of general office equipment. Experience with CRM systems, ticketing software and volunteer management software; Blackbaud Altru experience a plus. Experienced user of Zoom and Teams. Ability to lift 20 lbs.
WORKING CONDITIONS: Normal office environment. Some weekday evenings and weekends required.
Supervisory responsibilities: No
Strong organizational skills. Excellent oral and written communication. Strong initiative, planning and follow-through skills. Proven ability to work effectively in a multi-tasking environment. Enthusiasm for art & museums. Ability to work effectively with diverse constituencies including museum members and volunteers, the public, community partners, and colleagues on staff.
ADDITIONAL EDUCATION, CERTIFICATION OR PROFESSIONAL DESIGNATIONS: Experience in a museum setting a plus.
