Marketing Assistant/Office Manager (Real Estate)

MAIN OBJECTIVE:
The Marketing Assistant/Office Manager (MA/OM) is responsible for supporting agents in managing their listing and sale transactions by entering necessary data and documentation for transaction processing. The MA/OM will assist by creating agent sales transaction files and helping the agent maintain the file until the transaction closes. The MA/OM will act as the agent's main point of contact and dedicated service rep during all transactions.

The MA/OM collaborates with various support team members and MB team members to complete company projects and objectives. Additional responsibilities will include managing transaction tasks, such as uploading documents to Paperless Pipeline, access agent's DocuSign account to assist with retrieving contracts and signed communications, and occasionally reach out to agent clients, (per agent instructions), to obtain documentation on a case by case basis. Additionally, MA/OM will work with the Marketing Department and assist by distributing monthly marketing materials from agent accounts.

BASIC JOB RESPONSIBILITIES:

  • Maintain office cleanliness
  • Order and maintain office inventory
  • Monitor office calendar and conference room reservations
  • Provide agents with support and resources
  • Train agents on software/services offered to agents
  • Troubleshoot office technology
  • Receive and deposit earnest money and closing checks, daily
  • Create and maintain transactions and files via Paperless Pipeline
  • Update Paperless Pipeline file through life of the transactions, including status of transaction and documentation, as needed
  • Upload necessary file documentation
  • Create the request for commission statements, buy and list side, for Agent to review and submit to Accounting
  • Update documentation by renaming docs, moving them to correct category, and work with the compliance coordinator to ensure data accuracy and compliance to prevent errors
  • Print open house materials for agents
  • Assist in the distribution process of monthly marketing materials to agent networks
  • Upload templates in XpressDocs and agent website and distribute agent postcard mailers and email marketing on monthly basis
  • Access agent's DocuSign account to assist with retrieving contracts and signed communications from buyer or sellers agent, buyer and seller attorney's, lenders, etc.
  • Order agent "for sale" and "open house" signs, directional signs, and riders; place signage requests, such as install, removal, contract riders, etc.
  • Request Listing Packages for new listings, and monitor status, coordinate photography
  • Request client reviews and testimonials
  • Continued communication with agent and other necessary parties regarding changes and updates to transactions and/or incomplete files via our paperless notes system
  • Print and bind RPR reports as well as address and mail reports to clients, as needed

ADDITIONAL JOB RESPONSIBILITIES (Qualifying Plans Only):

  • Work with the MB team member(s) to ensure projects are completed
  • Actively monitor transaction status by being copied on all contract emails
  • Assist with the scheduling of photos with photography companies
  • Assist with scheduling buyer showings, inspections, and appraisals
  • Work with MB team to assist with onboarding new agents
  • Create draft on the MLS for listings, to be reviewed and approved by agent, with the exception of the description, remarks, agent remarks, and any special notes
  • Other duties as assigned based on business needs

QUALIFICATIONS:

  • Prior Real Estate and customer service experience strongly preferred
  • Technologically proficient on PCs and Macs and able to navigate software programs
  • Ability to quickly learn new software systems
  • Familiar with Paperless Pipeline, preferred
  • Possesses excellent organizational skills and file management skills
  • Possesses excellent customer service skills
  • Possesses creative problem solving skills

REQUIREMENTS:

  • Bachelor’s Degree
  • 3-5 years administrative and customer service experience, (Real Estate experience a plus)
  • Exceptional oral and written communication skills with ability to communicate to different audiences effectively and successfully
  • Ability to multi-task and quickly change focus to support different customer needs
  • Ability to prioritize and be flexible with changing business needs in a team environment as well as manage deadlines and time constraints
  • Team-oriented, delivery-oriented, and customer-focused
  • Excellent organizational skills
  • Positive attitude and great customer service skills
  • Must be detail oriented, a good problem solver, and a self-starter
  • Intermediate computer and software experience (On both Mac and Windows)
