    Duties Summary

    This vacancy is for an Administrative Assistant (OA) position in the Policy Coordination Office located at the U.S. Census Bureau Headquarters in Suitland, Maryland. The Census Bureau is accessible from the Metro Rail Green LineSuitland Station.
    This Job Opportunity Announcement may be used to fill other Administrative Assistant (OA), GS-0303-07/08, FPL: 08) positions within the Census Bureau in the same geographical location with the same qualifications and specialized experience.

    Responsibilities
    • Monitor deadlines and division compliance on completion of required training, performance ratings, and other administrative requirements and works with division staff to ensure that all division requirements are met.
    • Make arrangements for meetings, travel arrangements for supervisor and staff, and prepares related travel vouchers and reports.
    • Maintain correspondence control systems, to include typing, proofreading, and editing memoranda, forms, reports, charts, and correspondence; and reviewing outgoing correspondence for conformance with instructions, grammar, and typographical accuracy.
    • Prepare documents, forms, memoranda, etc. for the accomplishment of office work using a personal computer.
    • Schedule meetings and conferences for professional staff in the area and maintains the calendar of the Division Chief.

    This position is ELIGIBLE for telework; additional criteria will be required (e.g., supervisory approval).
    This is a BARGAINING unit position.
    Relocation expenses may be paid.

    Due to the COVID-19 pandemic, Census Bureau employees will be either under mandatory or maximum telework through December 31, 2020. The Census Bureau continues to closely follow the guidance of the Centers for Disease Control and Prevention, Office of Management and Budget, Office of Personnel Management, and state and local health authorities to ensure the safety of its workforce. You are encouraged to work closely with your immediate supervisor regarding any changes related to reporting to the Suitland Federal Center. You will be required to relocate and report to the Suitland Federal Center to begin your employment immediately upon receiving notification. Please note that with regard to your relocation there are regulatory time limitations and activities that you must meet in order to receive reimbursement, and if you fail to properly adhere to them you will not be entitled to reimbursement for your relocation expenses.

    BASIC REQUIREMENTS:
    To be minimally qualified for this position, applicants MUST have a typing proficiency of at least 40 words per minute with three or fewer errors based on a five-minute sample.

    AND
    In addition to the above basic requirements, you must also meet the following specialized experience.

    Specialized Experience:

    GRADE 07
    For the GS-07, you must have one year of experience at a level of difficulty and responsibility equivalent to the GS-06 in the Federal service.

    Experience for this position includes: assisting in the preparation of administrative documents, such as budget planning documents, procurement requests, requests for phone and equipment service/repair, and requests for keys, and maintaining personal property control and inventory of office supplies and equipment; reviewing and maintaining time and attendance reports and notifying timekeepers of problems/discrepancies to be resolved; receiving/distributing mail; maintaining and updating operating procedures and manuals; maintaining employee records; reviewing travel orders and vouchers; scheduling meetings; developing and maintaining an office tracking system; and/or proofreading, editing, and preparing correspondence.
    Education cannot be substituted for experience at this grade level.

    GRADE 08
    For the GS-08, you must have one year of experience at a level of difficulty and responsibility equivalent to the GS-07 in the Federal service.

    Experience for this position includes: work experience updating and maintaining automated systems; assisting with the preparation and planning of projects; researching information for assigned projects; assisting in the preparation of policy and procedures; scheduling meetings; developing and maintaining an office tracking system; assisting in the preparation of administrative documents, such as budget planning documents, procurement requests, requests for phone and equipment service/repair, and requests for keys; maintaining personal property control and inventory of office supplies and equipment; receiving, tracking, and responding to facilities complaints; reviewing and maintaining time and attendance reports and notifying timekeepers of problems/discrepancies to be resolved; receiving/distributing mail; maintaining and updating operating procedures and manuals; maintaining employee records; reviewing travel orders and vouchers; and/or proofreading, editing and preparing correspondence.
    Education cannot be substituted for experience at this grade level.

    Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.
