* What is a Receptionist/Office Clerk?* The Receptionist/Office Clerk will answer multi-line telephone, greet and route walk-in guests and perform clerical duties including order/data entry to support daily business activities of the Company. The hours for this position are 8am-5pm.
* What We’re Looking For* The ideal candidate will have a minimum of six months experience using a multi- line telephone switchboard console, clerical experience and data/order entry experience.
* Duties and Responsibilities*
Operate multi-line telephone switchboard console and route calls to the appropriate person, location, voicemail or page employees when appropriate.
Instruct and advise visitors to sign in/out using the automated system. Assure that they are escorted to the proper office.
Maintain pertinent telephone and visitor records.
Enters parts or basic orders into the system for customers.
Assists with expediting activities with other departments and customers.
May confer with other departments or initiates tracing of missing or delayed shipments.
Maintain daily booking report.
Check/verify information stored in electronic filing system, Doc Record.
Responsible for professional appearance and communication skills. Business casual dress.
Perform a variety of routine clerical duties.
Train relief operators.
Responsible for distribution of data sheets to individuals for emergency situations where employees need to be removed from the building.
Back up for sorting incoming mail/process outgoing mail (as needed).
Run business errands.
Interact and communicate with all levels of employees within the Company, as well as suppliers, customers and peers effectively.
Comply with policies, procedures, standards and rules of the Company.
Maintain quality assurance policy consistent with ISO standards.
Maintain work area in a clean, orderly and safe manner.
Punctual, regular and consistent attendance.
Perform all other job-related duties as assigned.
* Required Experience and Education*
High school diploma or equivalent. Able to read, write, and follow verbal instructions in Standard English. * Strong organizational, verbal, communication and interpersonal skills. * Six months use of a multi- line telephone switchboard console minimum. * Six months clerical experience. * Six months data/order entry experience minimum. High accuracy levels even with constant interruptions. * Proficient in MS Office products. * Ability to use office equipment, such as multi-line phone system, computer, copier, calculator, fax etc. * Ability to handle routine projects and tasks under close supervision. * Self-motivated during slow times. * Ability to multi-task, prioritize and maintain a high level of confidentiality. * Ability to courteously deal with customers, employees, job applicants, vendors and the general public. * Successful passing of a routine motor vehicle report.
* Physical and Technical Environment*
Minimal lifting up to 25 pounds occasionally. * Must be able to sit, stand, walk, reach with hands and arms, bend and stoop in a normal office environment. * Normal vision and manual dexterity for office duties. * Normal office environment, constant exposure to various people requesting information, routinely restricted to work station.
