The Client Services Representative provides service support to both internal and external clients and is considered the primary liaison between the client and ACT. Essential Duties and Responsibilities:
Completes daily / weekly / monthly tasks per client requirements and as assigned
Maintains positive relationships with internal and external clients through accurate and timely communication
Establishes credibility through knowledge of systems and product functionality
Participates in new client onboarding processes
Advocates for the client within ACT while striving to meet the needs of both parties
Adhere to client specific industry, federal, state rules and regulations pertaining but not limited to various administrative resolutions such as: disputes, bankruptcies, death claims, loan verification certificates, sending email and other correspondence, deactivation/cancellation of accounts, tax offsets and other balance adjustments
Performs maintenance as needed on accounts
Verifies system changes made and ensures the outcome is accurate
Takes responsibility for proactive outreach to existing clients
Maintains accurate notes, client information and cases in CRM Dynamics
Responsible for creating and maintaining any Standard Operating Procedures (SOPs) that are owned by the Client Services department
Adheres to all established policies and procedures
Qualifications and Education Requirements:
High School Diploma, GED, or equivalent required, (Bachelor’s Degree preferred)
Advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook etc.) required
A minimum of 2-3 years’ experience, preferably in a fast-paced customer service or call center atmosphere
Customer service orientation is a must, with excellent verbal and written communication skills
Detail oriented with proven track record for accuracy
Strong organizational and time management skills; ability to multi-task, work in a fast-paced environment and deliver against established timelines
Demonstrates a sense of urgency and drives issues to closure
Knows where to go for answers; utilizes resources efficiently
Must be team focused, willing to help others and hold the group goals as important priorities
