Specific Job Duties:

  • Proficient use of all software and websites vital to the performance of the call center
  • Maintains a pleasant, cooperative and professional demeanor with patients and other coworkers
  • Maintain logs for purposes of tracking and statistically reporting call center activities, as directed by supervisor
  • Acts as back up to Call Center Supervisor in the assessment of department needs based on call volume and staff availability (callouts/vacation) and may assign staff coverage and/or break schedules based on need
  • Complete administrative duties to include After Hour Messages in absence of supervisor
  • Performs other duties as required and assigned by the Call Center Supervisor

Other:

  • Follows all applicable department and practice policies and procedures
  • Maintains patient confidentiality; complies with HIPAA privacy and confidentiality guidelines established by the practice
  • Maintains detailed knowledge of practice management and other computer software as it relates to job function
  • Attends all regular meetings
  • Performs other duties as required and assigned by the Call Center Supervisor

Typical Physical Demands

The employee is required to sit for prolonged periods of the time and must be able to use hands and fingers to handle and to feel and arms to reach. The employee must be able to talk on the phone, hear and listen and be understood by the majority of the public. The employee may be occasionally required to stand and walk. The employee must be able to lift/and or move up to 10-15 pounds.

Work is performed in an office environment. Work involves frequent contact with staff, patients, and the public. Work may be stressful at times. Contact may involve dealing with angry or upset people.

The Call Center Operator is responsible for answering calls in the appropriate timeframe and transferring calls to the designated party. This position will perform clerical duties as requested.


Educational Requirements:

  • High school diploma or equivalent required

Qualifications and Experience:

  • Minimum two years of customer service experience, preferably in medical office setting
  • Comfortable using technology-based communication systems effectively and simultaneously
  • Previous experience using multi-line phone system, preferred
  • Knowledge of practice management and word processing software
  • Excellent communication and documentation skills
  • Ability to multi-task
  • Consistent use of professional and courteous phone demeanor
  • Willing to learn and assist the team as needed
  • Maintain communication in Well Health platform
  • Ensures office supplies for the department are stocked and available
  • Assist in the chart creation process
  • Handle administrative duties as requested by physicians, management and department lead
