We are a fast-paced surgical and medical podiatry group looking for a top-notch Front Desk Associate to join our team. All candidates must have minimum 2 years’ experience working in a medical office setting. Must have strong proficiency with electronic medical records (EMR) / practice management (PM) software such as E-Clinical Works (ECW), Athena, Next-Gen Office (NGO) , or Epic. Familiarity with how medical insurance works, pre-certification process is required. Preference given to candidates who reside within 25 minutes of Algonquin.

We are looking for a self-motivated team player who is high-energy, reliable, dependable, with excellent communication skills. Outgoing, positive-minded, and bubbly personality are essential qualities for working for our organization. We need someone who can adapt to “change” and is well equipped to deal with the daily load and stress associated with a busy clinic day. You must be able to hit the ground running and will be responsible for checking in/out patients, scheduling patient appointments, insurance verification, collecting payments, posting payments, handling patient A/R, and generally helping out around the office as needed.

It is very important that you are comfortable using a computer. This position involves lots of learning (and quickly mastering) the EMR system (as well as other company systems) and technology. You will be handling a high volume of pre-certs, data entry, word processing, phone calls on a daily basis. If using computers scares you, this isn’t the right fit. We are a paperless office.

FRONT DESK ASSOCIATE -- ESSENTIAL DUTIES AND RESPONSIBLITIES:

  • Work the main reception desk (with a warm, friendly, and inviting demeanor)
  • Attend quickly and professionally to callers needs
  • Check-in/check-out patients
  • Create a 5-star “patient/customer” experience
  • Schedule appointments
  • Manage paperwork and medical files
  • Fax, Scan, and operate multi-line phone system and other office equipment
  • Prep charts for the next day
  • Complete forms and DME paperwork in error free manner
  • Data entry with zero errors
  • Register demographic information
  • Collect co-pays
  • Post Point of Sale payments
  • Quickly learn (and master) various company systems including EMR
  • Assist billing team as needed
  • Assist patients over the phone with questions they have
  • Act as liaison between patients and any technology questions they have
  • Maintain front office lobby area wiping down surfaces, organizing, and assisting with general office clean up
  • Perform Insurance Verifications (IVRs) and Pre-Certs (meeting company required deadlines).
  • Obtain pre-certs/pre-authorization (via online portals and phones)
  • Calculate coverages and document findings in the EMR
  • Explain the coverage to patients over the phone as well as in-person
  • Enter prior authorization information into our EMR system to ensure accurate and timely claims filing
  • Scan/Upload documents
  • Receiving patient phone calls related to statements/patient balances
  • Provide overall support for our physicians and other office staff
  • Miscellaneous duties that arise throughout the day

Physical Demands:

  • Physical demands to successfully perform the essential functions of this job include, but are not limited to, walking, sitting, stooping, kneeling, standing, and crouching
  • The employee must be able to regularly lift up to 10-30 pounds.
  • Data entry into a EMR and other computerized system often while listening on the telephone
  • May be subject to repetitive motion such as typing, data entry, and vision to monitors

Miscellaneous:

All prospective candidates will have to pass a background check, drug testing, proficiency testing, and provide references

Job Type: Full-time

Pay: $15.00 - $18.50 per hour
