The Executive Office Receptionist & Admin is responsible for serving as a representative of the company and providing a welcoming and professional first impression both on the telephone and in person. This role exercises initiative and independent judgment in managing the schedule of the Executive Suite’s Members, and the office’s daily activities. The Executive Office Receptionist & Admin uses discretion in the dissemination of information and prioritizes and manages multiple projects simultaneously with little or no supervision. They are expected to be proactive, to demonstrate exemplary organization and system skills, and to be an effective and clear communicator both in written and verbal communication and operate with a high level of professionalism and discretion. Support with the CEO/COO Executive Assistant with additional administrative needs.
The Executive Office Receptionist & Admin is expected to work Monday through Friday at the corporate headquarters, which is located in Orlando, Florida.
ESSENTIAL DUTIES AND TASKS:
Answers multi-line phone system, determine the purpose of calls and direct calls appropriately and/or relay accurate messages. Screens calls and correspondence for the Executive Suite’s Members with strict confidentiality. Answer questions about the organization and provide callers with address, directions, and other information.
Welcome on-site visitors and vendors, determine the nature of business, and contact the appropriate individual to pick their guest up at the reception area.
Manage and de-escalate complaints directed to the executive team (letters, emails, phone calls, and in-person visits), and partner with appropriate departments to resolve those complaints.
Performs administrative duties: Maintain calendar for conference rooms, book travel arrangements, organize and schedule meetings and lunches, maintain telephone/directory of all employees, order and organize company supplies, sort mail, submit and reconcile expense reports, process invoices and event registrations, and print/scan documents as needed.
Responsible for contacting the appropriate vendor/department for office maintenance or cleaning issues with regard to the facility's day-to-day operations (such as changing light bulbs, heat problems, water problems, housekeeping issues, etc.).
Assists with special projects as required.
High School Diploma or equivalent required
Higher education degree preferred
Minimum of 2 years administrative experience
Excellent organizational skills and strong attention to detail, and the ability to multi-task and prioritize projects with minimal supervision.
Advance working knowledge of computer skills, including, but not limited to Word, PowerPoint, Excel, Access, Visio, and Outlook. Keynotes and other creative suite products are a plus.
Maintains workflow under pressure in a fast-paced, high-profile work environment. Provides systematic and dependable follow-up as well as a high level of organization and preparedness.
