is hiring an Administrative Assistant!

Schedule: Monday-Friday, 6 am2 pm

Location: 4440 E Elwood St, Ste 103, Phoenix, AZ 85040

Responsibilities:

  • Maintain and contribute to a safe work environment by adhering to policies and procedures as outlined in the Company Safety Program.
  • Data entry and 10-key of incoming payroll timesheets, payroll time logs and time off requests into payroll information system.
  • The day to day administration of payroll and billing, responding to general inquiries and provide consistent and effective follow up to facility employees.
  • Responsible for maintenance of the facility employee files.
  • Receives payments from customers and posts to corresponding account.
  • Receives invoices from vendors and processes the accounts payable checks.
  • Communicate with customers regarding billing questions or problems.
  • Perform any other task or assignment as deemed necessary by the organization.

Knowledge, Skills, & Abilities:

This position requires:

  • Excellent oral and written communication skills.
  • The ability to effectively present information and respond to questions.
  • The ability to communicate and interface with many corporate and employee levels.
  • The ability to read and apply common sense understanding to carry out instructions furnished in written or oral form.
  • The ability to deal with problems involving a few concrete variables in standardized situations.
  • The ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals.
  • The ability to apply strict confidentiality rules to daily workload.

Organizational Relationship:

Provide advisement to employees, management and branch personnel, regarding payroll processing and implementation. Works closely with the Administrative Manager and the General Manager.

Application:

Proficiency in Windows applications: Word and Excel. Prefer Pro-Business application experience.

Work Environment:

While performing the duties of this job, the employee will work in an office environment. The noise level in the work environment is usually moderate.

Physical Demands:

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit; use hands to handle or feel; and reach with hands and arms. Specific vision abilities required by this job include close vision and ability to adjust focus.

Minimum Requirements:

Must possess a minimum of three years of management or administrative/clerical experience; or related schooling or training; or the equivalent combination of both. Bachelor’s degree preferred; High School diploma or GED accepted with appropriate training and experience. Incumbent must be of excellent moral character and high ethical standards.
