Windows Direct USA is looking for an ambitious, energetic, organized and detailed individual who wants to learn and be part of a fast growing team. As the Office Manager you will oversee the day-to-day operations of the office environment and provide daily support for our Sales department. Office Manager Duties and Responsibilities
Sales Department Support:
On a daily basis, create/update and distribute Sales Orders and other related documents in our internal systems.
Calculate and enter sales commissions into our internal systems
Provide sales with requested promotional items and handouts for customer visits
Maintain a supply of handout materials.
Assist in formatting and copying important documents for our customers
General Office Responsibilities:
Maintain and replenish supplies for office, paper products and cleaning supplies.
Order all office supplies and business cards required.
Update and distribute the Company phone directory as needed.
Receive all customer payments, manage accounts receivable & close out invoices in quickbooks & our internal systems
Enter all customers & invoices in quickbooks
Create & distribute all post sale & post installation communication to customers
Maintain a relationship with our financing vendors to assist in customer payments
Receive all company bills, invoices, accounts payable and enter them into quickbooks be paid
Work closely with accounting to ensure all bills are paid on time, deposits are reconciled properly
Handle any workers compensation, business license renewals, general liability, unemployment claims or any other compliance or HR issues
Hire & train office administrators as needed
Monitor the general condition of the office areas and coordinate any maintenance and repairs that may be needed.
Lead our internal team to plan and coordinate special events
Requirements and Qualifications
Organization and the ability to multitask to complete a wide variety of tasks
Attention to detail to ensure tasks are completed thoroughly and correctly
Strong written and verbal communication skills
Time management skills and the ability to prioritize work
Strong interpersonal skills to interact positively with all employees
Positive attitude, self-motivated, eager to learn, curious and confident to make new relationships
Familiarity with the Quickbooks
College degree would be a plus

QuickBooks: 2 years (Preferred)
