We are looking for a dynamic and caring Front Office Manager who will be responsible for training, supervising and assisting the Customer Service Representatives (CSRs). The person in this role is part of the management team and reports directly to the Practice Manager. This position is responsible for planning and coordinating a variety of service functions that are related to the front desk operations and the veterinary staff at Bethel Park Animal Clinic. This position is responsible for reception, maintenance of veterinary medical records, accounts maintenance, invoice and payment processing, data entry and retailing of preventatives, prescriptive diets and sundry items. The key driver for the Front Office Manager role is to ensure high standards of quality customer service to the patients and clients. This is a full-time position expected to work 35-40 hours a week.

Responsibilities

  • Provide friendly, professional, quality care to clients and patients to ensure the customer experience is reflective of the clinic's desired standard.
  • Provide oversight to all front office functions.
  • Hire, train, supervise, evaluate, and assist CSRs in their performance of administrative, public relations and client education duties.
  • Manage large amounts of incoming calls, voicemail, texts and emails.
  • Problem solve issues that may arise with clients and make decisions regarding client complaints.
  • Work together and communicate effectively with other managers to promote excellent team work, patient care, and customer service throughout the entire clinic.
  • Help to enact new policies and procedures and ensure adherence to quality standards. Evaluate and help to problem solve areas that can be improved.
  • Review daily deposit reports and audit patient records to resolve errors and ensure that client and patient records are complete, accurate and well-maintained.
  • Help maintain flow and efficiency throughout the day.
  • Help team members thrive, utilizing their strengths and assisting them to grow professionally. Check in regularly with team members to encourage productivity and discourage behaviors that may be detrimental to the positive atmosphere of the work environment.
  • Have regular check-ins with other managers to stay on top of issues and to find new, more effective ways to take care of clients and patients.
  • Act as a liaison between Practice Manager and team members. Make recommendations to the Practice Manager concerning personnel matters.
  • Monitor compliance to job descriptions and “to do” lists.
  • Maintain cash envelope for front desk.
  • Prepare invoices for the clinic’s rescue accounts.
  • Manage phone system including phone set-ups and revisions to outgoing messages and on hold script.
  • Manage the clinic's system for mass client emails, automated reminders and reports.
  • Place routine service calls for maintenance of office equipment.

Personal Characteristics

  • Three years supervisory and customer support experience.
  • Veterinary experience a plus but not mandatory.
  • Strong communication and client service skills. Considerable tact and diplomacy are required. Ability to work with clients and patients in a professional, friendly, compassionate, expedient, and hospitable manner.
  • Ability to maintain equanimity in emotional situations and to assess information/conduct further fact finding in order to develop an appropriate response.
  • Ability to multi-task, prioritize, and manage time effectively.
  • Strong computer skills.
  • Regular attendance and timeliness are essential.
  • Ability to perform general physical activities that require bending, standing, stooping, walking or lifting up to 50lbs.
  • Must be at least 18 years of age and have a high school diploma or GED.

Job Type: Full-time

Pay: $16.00 - $19.00 per hour

COVID-19 considerations:
We are currently offering a modified curbside service. Clients call upon arrival and are escorted into the clinic. We require masks and practice frequent cleaning procedures that follow CDC guidelines. The majority of our employees are fully vaccinated.

Education:

  • High school or equivalent (Preferred)

Experience:

  • animal related: 1 year (Preferred)
  • Supervising experience: 3 years (Preferred)
  • Customer service: 2 years (Preferred)
