Job Position: Accounting Clerk
Job Details:
  • Great Opportunity for a part time Accounts Payable and Receivable Specialist.
  • We are looking to hire an account's payable and receivable specialist to work with our local team of AWESOME people!
  • We will be filling this position by August 20, 2021.

Responsibilities:
  • Receiving incoming vendor invoices and matching to our purchase orders (verifying costs, quantities and shipping charges).
  • Discuss and validate all discrepancies with internal team and also with vendors as differences arise.
  • Scheduling all incoming invoices in QuickBooks for payment.
  • Running a weekly payables report and preparing invoices for check runs.
  • Running checks and reviewing payables with owner of business before sending out.
  • Scheduling ACH payments and putting process into action.
  • Updating inventory levels in QuickBooks for stocked items that are received.
  • Auditing client invoices to verify that our invoices correctly reflect the amounts we were charged from vendors.
  • Credit Card reconciliation of statements vs receipts.
  • Updating inventory levels in QuickBooks as inventory is received and sold.
  • Receiving checks and remittance advice from clients and applying payments to those account balances.
  • Contacting clients about past due invoices.
  • Sending out statements and past due letters.
Computer Skills Qualifications:
  • Email: Creating, using, saving to a folder. Sending, opening attachments. Ok, this sounds pretty basic, but you would be surprised that some folks just haven't used all of the features email has.
  • Excel: Create and work with spreadsheets. If you can do more, we guarantee you that the rest of the team will hold you in the highest regard...and probably ask for your help on a regular basis! :)
  • QuickBooks: experience in the following areas....If you don't know QuickBooks, this probably isn't the job for you. Doesn't mean we wouldn't like to know you, just means we probably wouldn't hire you for THIS job.
  • Vendor invoices: entering and paying bills.
  • Entering new vendors and assigning expense classification code from chart of accounts.
  • Familiar with the “find” process.
  • Creating bill pay report(s).
  • Vendor credits and application process.
  • Vendor payment discount process.
  • Paying and printing checks for bill payments.
  • Entering Payments for Accounts
  • Running Aging reports and also printing statements and past due letters
  • Purchase Order Processing:
  • Matching vendor invoices to purchase order.
  • Vendor cost verification process.
  • Vendor contact for cost resolution.
Communication Skills Qualifications:
  • Able to communicate on daily basis with team members to resolve any AP and AR issues.
  • Able to communicate with management to resolve AP and AR issues and provide reports as needed.
Requirements:
  • Must be organized! If you keep your socks in the sock drawer by color, by type of use and by age of the sock, YOU ARE DEFINITELY our type of person!
