Definition

Since a tested eligible list is not active for this classification at this time, this position will be filled on a PROVISIONAL basis. At such time an examination is given for this classification, the preferred candidate serving in the class provisionally will be required to take the examination. The preferred candidate at that time must pass the exam to continue employment in this classification. Provisional Posting Preferred Qualifications: *

  • Experience and success working within and across multiple communities.
  • Strong customer service focus with strong written and verbal skills.
  • Events/meetings management background.
  • Procurement and vendor knowledge, and computer knowledge and databases/spreadsheets skills strongly preferred.

Under direction, is responsible for performing advanced level office and administrative support functions; performs related duties as required.

Examples of Work

(Any one position may not include all of the duties listed, nor do the examples cover all of the duties that may be performed.)
Assists in the coordination of an administrative program, project, function, or activity;

Assists in the preparation of professional reports and maintains current information on all applicable federal and state laws, rules and regulations;
Answers difficult questions from internal and external customers regarding policies and procedures, rules and regulations, City Code, departmental programs or functions;
Makes recommendations and assists in developing and administering office policies and procedures;
Collects data and compiles evaluative reports for a supervisor concerning the operation of City programs;
Composes correspondence or memorandums for the signature of a supervisor;
Reviews various documents such as legislative action, contracts, proposals and vouchers for concurrence with all applicable requirements;
Evaluates or monitors contract performance to determine compliance with contractual obligations;
Operates and manages complex databases and spreadsheets; develops basic formulas for software applications;
Prepares detailed correspondence and presentations;
Produces complex documents and reports using advanced software applications;

Performs as the confidential secretary to administrative personnel not included in the executive job family;
Assists in various phases of the hiring process such as recruiting, testing, checking references, or interviewing;
May have lead/supervisory responsibilities, which may include duties such as training, assigning and reviewing work, and scheduling.

Minimum Qualifications

Completion of the twelfth school grade and four (4) years of general office experience. Substitution(s): A certificate of high school equivalence (GED) will be accepted in lieu of a high school diploma. College training may be substituted for up to two (2) years of the required experience on a year-for-year basis (30 semester/45 quarter credit hours equals one (1) year).
