GENERAL DESCRIPTION
Perform complex (journey-level) administrative support or technical program assistance work. Prepare administrative reports, forms, and memos. Work involves using a personal computer to accomplish a wide variety of tasks for supervisors, assistant managers and managers, such as correspondence, internal and external customer service, scheduling meetings and appointments, and maintaining service files. Work under general supervision, with moderate latitude for the use of initiative and independent judgment.

ESSENTIAL DUTIES / RESPONSIBILITIES
1. Review and process documents and payments for supplies, services, contracts, and employee activities.
2. Promote and provide world class customer service to internal and external customers.
3. Create, maintain and review activity logs, files, and reports; prepare and review documents, correspondence and personnel documents for accuracy.
4. Review, sort, and route mail to appropriate personnel, manage distribution and destruction of documents.
5. Initiate and coordinate action to fill vacancies, serves on interview boards and provides applicant acceptability.
6. Respond to customer inquiries, take messages, distribute documents and plan and schedule appointments as necessary; and provide phone coverage for executive DL offices.
7. Prepare, interpret, and disseminate information regarding internal rules, policies, regulations, and procedures.
8. Update manuals and maintain employee records, act as notary for voluntary statements, complaints, depositions, etc.
9. TimeKeeper.
10. Attends work regularly and observes work hours in accordance with agency leave and attendance policies.
11. Perform other duties as assigned. Qualifications

GENERAL QUALIFICATIONS and REQUIREMENTS
EducationHigh School Diploma or equivalent.
ExperienceMinimum of three (3) years’ general office/secretarial work experience using a personal computer with MS Office software.
Licensure and/or CertificationA Notary Public is preferred. Must possess a valid driver license from state of residence.
Regulatory knowledgeWorking knowledge of and ability to rapidly learn information related to TXDPS, state, and federal regulations, legislation, guidelines, policies and procedures. Knowledge of records retention and record keeping systems, generally accepted office practices with emphasis on preparation and processing of forms.
Interpersonal SkillsAble to communicate and interact courteously, effectively and professionally with agency employees, officials and members of the public, and respond to public inquiries in a timely manner.
Organizational and Prioritization SkillsMust be organized, flexible, and able to effectively prioritize in a multi-demand and constantly changing environment; able to meet multiple and sometimes conflicting deadlines without sacrificing accuracy, timeliness or professionalism.
Presentation/Communication SkillsWorking knowledge of business office practices, English grammar, spelling, punctuation, composition and arithmetic; ability to understand and effectively apply complex oral and written instructions and procedures. Ability to communicate in a clear and articulate manner by oral and written means; ability to compose routine business correspondence according to department needs; and ability to train employees properly on operating procedures.

DPS employee who is selected for a position in their current salary group with a new state title may receive an increase up to 3.4%.
Salary is contingent upon qualification and is subject to salary administration and budgetary restrictions.
