CC013193 Surgery Administration
The Administrative Assistant serves as a clerical staff member in supporting Perioperative Surgery operations. The Administrative Assistant may be responsible for document preparation, information management, billing patient charges and OR Surgery scheduling. The Administrative Assistant maintains electronic files and invoices, prepares and/or coordinates the preparation of recurring reports by inputting updated data onto excel spreadsheets on a regular basis. The Administrative Assistant may be responsible for reviewing and entering Perioperative Surgery charges. May assist in performing billing audits. May assist department head with gathering and compiling information for the annual budget process. The Administrative Assistant can perform a vast variety of office, clerical, and or basic bookkeeping needs. Plans and prioritizes workload to meet set deadlines. Performs special assignments as assigned.
PRIMARY DUTIES AND RESPONSIBILITIES
1. Performs as Clerical Staff Member
Provide support to ensure efficient operation in your designated department. Provides continual coverage for assigned phone lines daily, transfers calls and records messages as instructed.
Organize and schedule meetings and appointments
Produce and distribute correspondence memos, letters, faxes, and forms. Routes reports, correspondence and other material via interdepartmental and other mail delivery services
Coordinates departmental calendar and integrates schedules as required by assigned activities. Reviews agenda daily for changes and updates, while considering optimal scheduling patterns.
May provide support in closing case records in OR Manager.
May open case records in OR Manager when requested.
May be responsible for performing pre-billing audits on OR times, case records, and schedules.
May be responsible for performing post-billing audits of charges entered.
Communicates with Surgical Services personnel, peers, and other ACH team members in a positive and professional manner.
2. Documentation Preparation
Reproduces reports, articles, and other material as required by assigned activities. Demonstrates expertise and initiative in formatting documents.
Maintain office files and/or patient records.
Assist in the preparation of regularly scheduled reports.
Updates spreadsheets used in department reporting..
May prepare the daily OR Surgery Schedule according to the Surgery Scheduling Guidelines.
May be responsible for appropriate procedure scheduling to fulfill required equipment, space, and instrumentation needs.
May be responsible for utilizing the OR Block Scheduling system to ensure appropriate scheduling; releases block time as appropriate; or as requested by Surgery Service. Processes released blocks within one day of request.
May be responsible for arranging patients in appropriate case order based upon patient's age, NPO Status, etc.
Notifies Anesthesia and/or Surgery Patient Care Managers or designee if there is a question/problem regarding the schedule immediately upon recognition.
Addresses conflicts and concerns regarding scheduling in a positive and professional manner and communicates these to the Surgery Patient Care Manager or Director.
3. Other Office Duties
May purchase supplies for the department. Requisitions stock and non-stock items as needed with authorized approvals within prescribed deadlines
Troubleshoot copiers, scanner, fax machines, and other office equipment calling for repairs as needed.
Maintains patient confidence and protects operations by keeping information confidential
May enter charge sheets, bill only supply charges, and inventory charges into OR Manager. Maintains less than 3% error rate on all entries.
May perform follow up with OR Surgery nurses regarding billing questions or missing billing information.
May be responsible for ensuring charges are entered the day following the date of service. The goal is to enter all charges within 5 days following the date of service.
May remove charges from canceled or incorrect accounts (as requested by Patient Financial Services) via E-request within one day of request.
May be responsible for entering vendor proof of delivery charges into E-request by the 24th of the month for the previous month. Ensures vendor rep matches his/her charges to the E-request and signs off by the 26th of the month.
May be responsible for verifying that the Tissue TrackCore implant report matches the tissue charges. Communicates to the Tissue Coordinator if charges did not properly cross over.
May be responsible for reconciling the implant charges on the charge sheets to the OR Manager Implant Report.
May be responsible for identifying supplies that do not have a current procedure code assigned.
Identifies problems with OR Manager and notifies management and IT to correct.
4. Special ProjectsKey tasks associated with a special project(s) are as follows:
May record various data in spreadsheet format for use in analysis and reporting.
May perform special projects as assigned.
May assist with planning and presenting information at the quarterly Surgeons' Schedulers' Breakfast.
May assist in training new schedulers in the surgeons' offices.
Displays teamwork by offering assistance to others and utilizing time effectively
Seeks new challenges and is self-directed in identifying resources/learning activities to enhance competence.
RequiredHigh school diploma or general education degree (GED) (College coursework preferred)
PreferredAssociate's degree or equivalent from two-year college program or technical school or nursing diplomaField of Study: Office Administration or General Business
Required3 years total experience required, which includes 3 years of administrative clerical experience, which includes 3 years of Experience with Microsoft Word software (Access, Word, Excel, Power point) experience
Preferred2 years Prefer experience in a hospital or medical office setting. experience preferred
CERTIFICATION / LICENSE / REGISTRY REQUIREMENTS
This position has no Certification/License/Registry requirements
